The Executive Assistant will work directly with the Managing Director and will be responsible for supporting the planning, administration, communication, reporting and following up the needs of the Managing Director undertaking a variety of tasks to support his vision, strategy and tactics.
Responsibilities
- Coordinate and maintain the Directors’ calendar, including scheduling appointments and meetings, ensuring efficient time management.
- Plan and organize internal and external meetings on behalf of the Directors, ensuring that all necessary arrangements are in place, such as booking venues, arranging equipment, preparing presentations, and creating agendas.

Provide executive and administrative support to the Directors.
Arrange all aspects of the Directors’ travel and logistics, including booking flights, managing visa requirements, securing hotel accommodations, arranging car rentals, scheduling conferences during travel, and preparing detailed expense reports. - Respond to communications directed to the Directors’ office, including phone calls, emails, and walk-ins, ensuring timely and accurate distribution to the appropriate departments.
- Provide secretarial support for meetings, including drafting and circulating agendas, preparing minutes, sending meeting reminders, confirming venues, arranging refreshments, and distributing comprehensive minutes and actionable points to all attendees after the meeting.
- Communicate important updates and information from the Directors to the office as required.
- Coordinate with the marketing agency on behalf of the Directors, ensuring seamless communication and collaboration for campaigns, projects, and other marketing-related activities.
- Assist with planning and managing employee engagement activities and events, including coordinating logistics, promoting participation, and ensuring successful execution.
Requirements
- 1:3 years of experience as an Executive Assistant, Personal Assistant or similar role.
- Bachelor’s degree or diploma in a relevant field.
- Fluency in written and spoken English.
- Strong knowledge of office organization and management practices.
- Exceptional business writing skills.
- Advanced proficiency in computer applications, particularly MS Office.
